Identify the destination and its current requirements
The event’s destination affects transport, site access and the installation programme. Yashobhoomi is in Dwarka, New Delhi, while India Expo Centre & Mart is in Greater Noida. Bharat Mandapam is another New Delhi exhibition destination. A booking described only as a Delhi show does not give the production team enough information to plan delivery.
The venue name also does not replace the exhibitor manual. Obtain the current organiser documents for your event and confirm the stall number, dimensions, open sides, service bookings and installation window. Identify any information still pending so early concepts remain subject to those requirements.

Develop the layout around your products and audience
Choose the main visitor activity before the visual theme. A demonstration-led booth needs the equipment’s operating space and room for viewers; a buyer-focused pavilion needs a clear public offer and useful meeting zones. Send product sizes, staffing and storage requirements so the layout can be assessed on the actual footprint.
Review eye-level 3D views from the relevant aisles alongside the scaled plan. A corner booth, inline stall and peninsula need different arrival arrangements. Confirm which surfaces carry the brand message and which areas support the team, then resolve materials and graphics before production.

Agree the design, fabrication and site responsibilities
For a Delhi NCR project, confirm the local delivery arrangements in the proposal rather than assuming they are identical to a Mumbai build. The agreed scope should identify design coordination, production, graphics, transport, site installation, support and dismantling, with a named contact for approvals and on-ground work.
Separate organiser services from the builder’s scope. Confirm who books power and other event services, prepares required submissions, supplies final artwork and handles retained components after dismantling. The installation programme should work backwards from the event’s actual handover deadline.

Start with the show name, venue, dates and allocated floor plan. Add products, audience, intended budget, brand files and the person responsible for approvals. If you have an existing concept or builder, include their drawings and scope so the handover can be reviewed without duplicate assumptions.
